Customer administration has been revised. You can now enter numerous contact persons per company.
This function is a suggestion from our Feature Request Forum. We would thus like to make use of this opportunity and thank you for the idea, the keen discussions and for taking a vote on it.
Especially with large companies, there can be more than one contact person. The quote goes to Mr Müller, the invoice to the bookkeeping department and the delivery note to plant A. Thus, for one customer dossier, there now is the option of entering numerous contacts. It can be persons, departments or simply different addresses. And this is how it works:
In the customer dossier, on the right, you can create as many contacts as you like. To start with, a new contact will get all the values that have been entered for the customer. Now, as the case may be, these values can be overwritten at the contact. For instance, the name, the telephone number and the e-mail address can be changed. All other values remain the same, because the new contact has the same address, the same bank details and the same internet address.
By creating a contact, a new contact tab appears at the customer. Here you can see the contacts at the customer and can process or delete them.
Create a Document for a Customer Contact
If you now create a new document (invoice, offer, reminder letter, etc.), you select the customer, as usual. If there are contacts, a new list box appears in the invoice form. Right at the top, you can now select to which contact the invoice should go. The address will then change correspondingly.
Wildcards and Own Templates
We have our own wildcards for contacts. By means of this, you can, e.g., address the contact partners in your own templates with wildcards in the [Contact.xy] format.
Auto-Complete when Sending E-Mails
Within the framework of the new functions, we have also made a small but nice change with the e-mail dispatch. If you click on a field for an e-mail recipient, a list with suggestions will open. Here you can select from the e-mail addresses of the customer and its contacts. What is more, the e-mail addresses of all of your colleagues appear here. After all, it could also be the case that someone from the own company has to receive the invoice as a copy.
If the list is too long, simply type in some letters, the selection will then be filtered automatically.
